Who We’re Not a Good Fit For (And Why That’s Actually a Good Thing)

Who is not a good fit for our MSP – Birchwood Technology

Choosing an IT provider is not just a technical decision. It is a relationship decision.

At Birchwood Technology, we believe being clear about who we are not a good fit for is just as important as explaining who we serve well. Not every MSP works the same way, and not every business needs the same kind of partner.

This post is about transparency. It is meant to help you decide if we are the right fit for your business and just as importantly, to help you avoid frustration if we are not.

We Are Not a Fit If IT Is Treated as an Unavoidable Expense

Some businesses see IT as something to minimize at all costs. The goal is often to keep things running as cheaply as possible and only fix issues when something breaks.

That approach is understandable, especially for small businesses. But it is not how we work.

We view IT as part of the foundation of a healthy business. It supports productivity, security, compliance, and growth. If technology is treated as an afterthought or something that should cost as little as possible, the partnership usually becomes reactive, stressful, and disappointing for everyone involved.

We do our best work with clients who value reliability, consistency, and long-term thinking, even if they are small.

We Are Not a Fit for Legacy, On-Premise-Heavy Environments

Our approach is modern, cloud-first, and intentionally simple.

That means we typically are not the right partner for organizations that rely heavily on:

  • Very old or unsupported software

  • Legacy operating systems

  • Large on-premise server environments that must stay on-site indefinitely

Some industries, including certain manufacturing environments, still depend on specialized or legacy systems. In those cases, there are MSPs who focus specifically on that complexity and do it well.

Our focus is different. We help businesses modernize, reduce complexity, and move toward secure cloud-based systems that are easier to manage, easier to secure, and easier to support long term.

We Are Not a Fit for “Just Make It Work” Expectations

If the goal is to keep patching together aging systems without addressing underlying problems, we are probably not the right partner.

We believe in doing things the right way, even when it means changing how things have always been done. That includes standardizing systems, setting minimum security and reliability standards, and saying no to shortcuts that create risk.

This approach reduces surprises, outages, and security incidents. But it does require buy-in.

We Are Not a Fit for Highly Complex or Very Large Organizations

We deliberately stay small.

Organizations with hundreds of employees, multiple locations, or highly customized IT environments often need large teams, layers of account management, and complex internal processes.

That is not our model.

We work best with small to mid-sized organizations that want a clean, well-designed environment and a close relationship with the people responsible for their IT. Our clients are not ticket numbers. They are partners we know well.

A Note on Certain Professional Practices

Some industries have developed a reputation for minimizing IT spend and pushing technology as far as it can go before replacing it. Dentistry is often cited as an example.

There are exceptions, of course. But in general, if the expectation is the cheapest possible solution with minimal investment over time, the partnership tends to struggle.

Our goal is not to criticize. It is to be honest about alignment.

Why We Choose This Approach

Many larger MSPs operate on volume. They need hundreds or thousands of clients to make the economics work. That model is not wrong, but it does change the experience.

We have chosen a different path.

By working with a smaller number of clients who value simplicity, security, and trust, we can stay responsive, intentional, and personally invested. It allows us to deliver a higher level of care without becoming bloated or impersonal.

The Right Fit Feels Easy

If you are a business owner who:

  • Values straightforward advice

  • Wants fewer surprises and less chaos

  • Is open to modern, cloud-based systems

  • Sees IT as part of running a healthy business

Then we are likely a great fit.

If not, that is okay too. The right MSP for you is the one that aligns with how you operate and what you value.

If this post helped clarify that, then it has done its job.

If you think we might be a fit, we are always happy to have a conversation.
